How-to Schedule Working Group Calls

Instructions for group managers.

1. Create a Meeting in PCC

Log into PCC:
https://projectadmin.lfx.linuxfoundation.org/

Select Collaboration > Meetings from the left menu for the Developer Relations Foundation sub-project.

Click Add Meeting.

• Add title following pattern: "DRF | Resource Aggregation" with any optional additional details
• Choose date and time
• Uncheck Restricted and check Make Meeting Public
• Add yourself and other managers to the meeting and check "Share Host Key" with each.

Look in your email for the invite.

2. Add Meeting to Working Group Calendar

Log into Groups.io:
https://lists.dev-rel.org/g/wg-resource-aggregation/calendar

Select + Add Event. Input details to match as entered in PCC. Set location to be the Zoom link without the host password.

3. Create Agenda

Go to Discussions:
https://github.com/DevRel-Foundation/wg-resource-aggregation/discussions

Select New discussion from the Working Group Calls category.

Use the pattern YYYY-MM-DD | Working Group Call for the title.

Include an agenda to the description, for example:

## Agenda

- [ ] decision on whether to have or cancel this meeting
- [ ] call for topics

4. Announce Meeting

Share details of the meeting across communication channels.

One week prior:

• post a message to discord
• add working group to the meeting invite in PCC

On Sunday prior:

• post a message to the mailing list with the monthly update
